- verify a location for the 1st monday of the month meeting from 7 to 9pm
- post announcements about the council meeting
- post a forum topic to be the collection point for agenda items
- go over re-occurring agenda topics
- review the last meeting's minutes
- review and approval of wednesday night meetings at St. Francis
- reports from the PPO working groups
- at the start of the Council meeting, go over the agenda and agree which topics will be on the agenda and how much time to spend on each of the topics
- have someone be a time keeper
- have someone ready to be a moderator
- complete by 9pm or other agreed upon time.

In an effort to better document what is needed for a typical wednesday night at St. Francis, here is a 1st draft of the typical tasks at St. Francis.
- Be there at 6:30pm to take over for the cleaning crew at St. Francis
- setup the information table
- have enough tri-fold fliers
- have enough quarter page calendars
- have someone to greet people as they come in
- arrange the chairs
- setup the speakers, projector and laptop (if applicable).
- make sure all of the equipment is available
- make sure someone is available to setup and troubleshoot
- intro to PPO
- announcements
- manage the flow of the discussion and/or break out groups
- coordinate with the speaker (if applicable) for the evening
- answer any of the end of the night questions
- bring the breakout groups (if applicable) back together by 8:40pm to go over what was discussed.

- Lock door securely.
- Turn out all lights including bathrooms
